We already use Asana. Why isn’t it working?

Most companies on Asana have the tool, not the system. There are projects but no structure: ownership is unclear, escalations are unmanaged and leadership can’t see anything without asking. We set Asana up around your decision flows and accountability, so it becomes a workspace your team uses instead of one they work around.

How long does setup take for an e-commerce brand?

A complete, custom Asana setup usually takes about 30 days from audit to launch. That covers mapping your current workflows, building portfolios and automated rules, and live training so the whole team can run it on their own.

Why not just hire a fractional COO?

A fractional COO typically costs $8,000–$15,000 a month. They give good strategic advice but rarely build your workspace, document your processes or train your team. We build the permanent infrastructure that makes a fractional COO unnecessary at this stage, for a fraction of the annual cost.

What if my team resists the new system?

Adoption is built in from day one. We design workflows around how your team already communicates, roll out in phases people can absorb, and train everyone to the level their role needs. Before we hand over, we agree who inside your team owns adoption, so the system keeps running after we step back.

Do you work with tools other than Asana?

Yes. Asana is where we go deepest, and we also build complete systems in ClickUp: workload views, automated pipelines and reporting. Around either one we integrate Slack, Google Workspace, Notion and reporting tools, and we’ve moved teams off ClickUp, Trello and Airtable into one Asana workspace when that was the better fit. The Systems Audit maps the right path for your stack.

What happens on the free 20-minute call?

You tell us what’s breaking and we ask how work moves today. By the end we’ll point out where the bottleneck is and who should own it. If there’s a fit, we’ll recommend a starting point, usually the Systems Audit, whose fee is credited to your first build. If there isn’t, we’ll say so.

Who owns what you build?

You do. Everything is built inside your own Asana or ClickUp workspace, and every build is handed over with a written SOP and a video guide. There’s no lock-in: keep the retainer only while it’s useful.

Is this for you?

Fit matters more than forcing a sale

We’d rather tell you now than halfway through a build.

A strong fit

  • A scaling D2C or e-commerce team, past the scrappy stage
  • 30+ people, or the operating complexity of a team that size
  • Ready to standardise how work runs in Asana or ClickUp
  • Leadership wants visibility without another reporting layer

Not yet

  • Pre-revenue teams or solo founders
  • Looking for a template dump rather than a working system
  • No internal owner for adoption after handover
  • Unwilling to agree on ownership, fields or review cadence

Get the business out of your head.

No prep and no pitch deck. Tell us what’s breaking and we’ll point out where to start.
